Terms of Service

These terms form an agreement between you (or the organization you represent) and ProposalPilot (“we”, “us”). By creating an account or using the service you agree to them. If you don't agree, don't use the service.

The service

ProposalPilot is web software that helps you respond to RFPs, security questionnaires and proposals. AI features use an AI provider account that you supply and pay for. We may improve, change or discontinue features, and will try to give notice of material changes.

Accounts and workspaces

  • You must provide accurate information and keep your credentials secure.
  • Workspace admins are responsible for who they invite and the roles they grant.
  • You are responsible for activity under your account.

Subscriptions and billing

  • Paid plans are billed monthly in advance through Stripe and renew automatically until cancelled.
  • You can cancel any time from Settings → Billing; access continues until the end of the paid period.
  • Fees are non-refundable except where required by law, and we may change prices with advance notice before your next renewal.
  • AI usage is billed separately by your AI provider and is your responsibility.

Your content

You keep ownership of everything you upload or create (“Your Content”). You grant us a limited licence to host, process and transmit it solely to provide the service, including sending excerpts to the AI provider you choose. You confirm you have the right to upload it and that doing so doesn't violate law or third-party rights.

AI output

AI-generated drafts may be inaccurate, incomplete or outdated. You are responsible for reviewing every answer before you submit it, including statements about certifications, insurance, pricing, capabilities and legal commitments. We don't guarantee that any bid will be successful.

Acceptable use

You must follow our Acceptable Use Policy. We may suspend accounts that put the service, other customers or third parties at risk.

Security and availability

We use reasonable safeguards, described on our Security page, but do not guarantee uninterrupted or error-free operation. You are responsible for keeping your own backups of important content.

Third-party services

Integrations and AI providers are provided by third parties under their own terms. We are not responsible for their services.

Termination

You may stop using the service and close your workspace at any time. We may suspend or terminate access for breach of these terms or non-payment. On termination, you can export your content for a reasonable period before it is deleted.

Disclaimers

The service is provided “as is” and “as available”, without warranties of any kind, to the fullest extent permitted by law, including implied warranties of merchantability, fitness for a particular purpose and non-infringement.

Limitation of liability

To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or contracts, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.

Changes and governing law

We may update these terms and will post the new date; continued use after changes means you accept them. These terms are governed by the laws of the jurisdiction where ProposalPilot's operator is established, without regard to conflict-of-law rules.
